Talis Group’s client is a well-established law firm located in the East end of Louisville.  Recognized for excellence in multiple practice areas and known for its professionalism and community involvement.  The firm is seeking to hire an Executive Administrative Assistant to provide high-level support to a Partner focused on Trusts, Estates, and Probate matters.  This role will manage calendaring, complex scheduling, document organization, and administrative functions while helping to ensure the efficient operation of a busy legal practice. 
 
This full-time, direct hire has an hourly pay of $27-$29/hour ($56k-60k) plus full benefits, 401(k), and generous PTO and the potential for overtime.  The hours are Monday-Friday, onsite, with flexibility for start and end times.

Highlighted Duties:
  • Manage the Partner’s calendar, appointments, meetings, and scheduling priorities.
  • Coordinate meetings, conference calls, and client appointments.
  • Prepare, proofread, edit, and format correspondence, reports, and legal-related documents.
  • Maintain both electronic and paper filing systems with exceptional attention to detail.
  • Organize and prioritize incoming communications, documents, and requests.
  • Assist with document management and file maintenance using the firm’s case management system (Needles training provided).
  • Monitor deadlines, follow-up items, and scheduling commitments.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Provide administrative support to ensure the efficient operation of the practice.
  • Communicate professionally with clients, attorneys, court personnel, and other stakeholders.
 
Highlighted Requirements:
  • 3+ years of executive administrative, senior administrative assistant, office management, or similar professional support experience.
  • Ability to support a busy executive or professional in a fast-paced environment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent spelling, grammar, proofreading, and verbal communication skills.
  • Advanced proficiency with Microsoft Outlook, Word, and Excel.
  • High level of professionalism, discretion, and attention to detail.
  • Quick learner with the ability to adapt to new systems and procedures.
  • Strong critical thinking and problem-solving skills.
  • Ability to remain composed and productive in a demanding environment.
  • Legal experience is helpful but not required.
